New Hire Preparation

Before a new employee arrives, please check that the following steps have been followed to ensure a smooth transition to work or study at Harvard SEAS.

Checklist

Identify office and/or laboratory space.

Get Harvard ID.

Contact:

Faculty and staff should visit ID Services at 953 Holyoke Center (9th floor), 5-3322.

Lead Time Needed:

Faculty and staff can pick up their cards at Holyoke Center the day after their personnel information has been entered on the Peoplesoft system (this is done by your home department staff).

Get keys to the relevant Harvard SEAS building/office.

Contact:

Lead Time Needed: 

Keys should be available within one day of the request.

Arrange phone service for office and/or lab.

Lead Time Needed:

For installation of phones, please expect to wait at least a week. When a new jack is installed, expect a lead time of up to fifteen business days.

Order furniture for office and/or lab.

For furniture, call the Facilities Office 5-2840. 

Lead Time Needed: 

For basic office furniture (desks, chairs, etc.), expect a wait of four to six weeks. For larger, more complex, or more expensive furniture, the wait can be weeks to months.

Get copy machine code number.

Contact: Speak with the administrator of your SEAS department or contact the Facilities Office 5-2840 (you will need to complete a form).

Lead Time Needed: This information should be available the same day that your request it.

Order Computer.

Contact: Computing Office.

Lead Time Needed: 3 weeks

Email new hire link to Windows Account application (includes email address set-up).

Lead Time Needed: At least one week prior to arrival.
